ASTA is looking for a Business Development Coordinator to join our growing Business Development team.

This role is responsible for supporting sponsorship and marketing campaigns. The Business Development Coordinator will work with several departments within ASTA and many supplier partners to ensure contracts are fulfilled and client relationships are effectively managed.

The ideal candidate will be detail-oriented, strategic thinking, and aware of all aspects of each signed agreement. This unique position requires an equally unique personality with an entrepreneurial spirit and a sense of ownership while maintaining a “team player” attitude. This person should be curious, a self-starter, have a positive outlook, and pay strong attention to the details.

This full-time position reports to the Director, Business Development. The company is based in Alexandria, VA, but this position is open to remote and hybrid employment.

Compensation:

$50,000 - $55,000 yearly

Responsibilities:
  • Collaborate with Business Development team members to provide seamless handoff, onboarding, and support to ASTA partners
  • Implement and optimize the fulfillment of Partner Agreements - effectively managing the fulfillment pipeline to completion
  • Invoicing/managing balances with the Accounting Department
  • Managing deliverable calendar and inventory
  • Owning marketing deliverables: moderating webinars, building HTML broadcasts, managing miscellaneous digital marketing collateral such as E-Newsletter features and banner ads
  • Collecting event-specific content: speaker info, session information, and maintaining communications with speakers to ensure knowledge of onsite execution
  • Ensure Partner logos are correct along all ASTA channels: ASTA.org, Travel Advisor Daily E-Newsletter, On-site signage, Travel Advisor Magazine
  • Working with vendors to facilitate promised sponsorship elements
  • Creating end-of-year ROI reports
  • Upsell marketing and event elements to existing customers, generating additional revenue
  • Support the Proud Partner Committee throughout the year, scheduling and assisting with virtual and in-person meetings, communications

Expectations:

  • Understand and articulate ASTA’s mission and value proposition while keeping up-to-date on important industry and ASTA happenings
  • Build relationships with partners and upsell where possible
  • Communicate professionally and effectively, both verbally and in writing, with members, prospective members, and staff
  • Manage the day-to-day responsibilities of the position while meeting deadlines for long-term projects
  • Maintain fulfillment spreadsheets that are current and understandable
  • Navigate through membership databases, event and marketing systems (iMIS, E-Show, HubSpot)
  • Take an active role in the Sponsor's on-site experience, assisting with pre-registration, signage, on-site logistics, and production elements
  • Collaborate with the Marketing, Membership, and Accounting teams to ensure partner needs are served and agreements are executed
Qualifications:
  • Bachelor’s degree
  • 1-4 years in sales or project management
  • Proficiency in Microsoft Office Suite, HubSpot, or another CRM/HTML email program is a plus
  • Knowledge of iMIS database system and event management programs (such as EShow) is a plus
  • Excellent verbal and written communication and organizational skills
  • Previous customer or member service experience
  • Ability to manage multiple priorities and deadlines simultaneously

  • Sales/marketing/business development experience or related field is a plus
